Position Reports to: Designated Manager or Supervisor, as assigned
Position Directly Supervises: None
Purpose of Position: Provides administrative scheduling assistance to customer service and shipping departments. Overlooks production flow, tracks ship dates and provides direction to customer service staff. Performs variety of general office tasks.

Essential Duties:
    Level 1

  • Coordinates and performs a range of department support activities; serves as a liaison between other divisions/departments.
  • Provides administrative support such as checking on shipping dates, case scanning and scheduling new shipping dates.
  • Completes date changes on the case box and makes date changes in the DL Plus and GCM.
  • Communicates with customers, colleagues, dental technicians and mangers in a prompt articulate manner.
  • Maintains a day to day professional relationship with dental technicians and managers.
  • Assists customer service staff, floor supervisor and mangers in case search .
  • Observes production flow.
  • Distributes cases to the dental technicians.
  • Monitors rush case flow.
  • Identifies which technician worked on a particular case.
  • Schedules new shipping dates.
  • Coordinates directly with customer service staff
  • Completes special projects as requested by manger, supervisor or customer service representative.

  • Level 2

  • Performs all essential duties as Level 1.
  • Makes outbound phone calls to dental offices and notifies them of shipping dates and verifies shade information when needed.
  • Follows-up on specific requests made by the doctors on the particular cases.
  • Coordinates directly with customer service staff.
  • Coordinates with payroll administrators in case of mix-up cases.
  • Reviews work orders’ accuracy by comparison to Rx directions.
  • Enters and adjust unit numbers in DL Touch.
  • Verifies if the right models match the right case.
  • Trains technicians how to scan cases.
  • Trains technicians how to print case reports.

  • Level 3

  • Performs all essential duties as Level 2.
  • Investigates and resolves departmental issues.
  • Trains new schedulers.
  • Coordinates with GCM support group.

Minimum Skills or Experience Requirements:
  • High School Diploma or GED.

  • High familiarity of QC standards, procedures and applicable techniques.

Physical Demands and Environmental Conditions
This is primarily a manufacturing environment with moderate noise levels and no direct exposure to hazardous physical substances. Finger dexterity is needed to access, enter and retrieve data using a computer keyboard and standard office equipment. The position occasionally reaches for cases, pushes carts, pulls drawers to retrieve information, walks around the designated area and lifts cases that weigh no more than ten pounds.
